Most wireless printer problems come down to one thing modern routers do that older printers cannot handle.
Most printers only support 2.4GHz Wi-Fi, not 5GHz. If your router broadcasts both bands under one name, the printer may be handed a 5GHz connection it cannot use. Splitting the bands into separate network names, or temporarily disabling 5GHz during setup, fixes a large share of wireless printer problems.
The 2.4GHz problem
Printers are built to last a decade and wireless chips in them are chosen for cost, so the majority are 2.4GHz only. Modern routers broadcast 2.4GHz and 5GHz under the same network name and decide which to give each device — "band steering".
A printer that cannot see 5GHz either fails to connect, or connects and then drops when the router tries to move it. The fix:
- Give the two bands separate names in the router — for example MyWiFi and MyWiFi-5G — and connect the printer to the 2.4GHz one
- Or temporarily disable 5GHz while you set the printer up, then re-enable it
This one change resolves more wireless printer complaints than everything else combined.
Other causes
Signal strength
Printers sit on the floor, in corners, behind furniture — the worst possible place for an antenna. Most have a network status page showing signal strength; print it and see what it is actually getting.
Changing IP address
The printer stays on the network but gets a different address, and computers keep looking at the old one. It presents as offline rather than disconnected. A static IP or DHCP reservation fixes it permanently.
Password or network name changed
Obvious once said, easy to forget. The printer keeps the old credentials and quietly fails.
Guest network or client isolation
Many routers stop devices on a guest network from talking to each other. A printer on the guest network is invisible to everything on the main one.
WPS no longer working
Some routers have WPS disabled by default now for security reasons. If you are pressing the WPS button and nothing happens, enter the password manually instead.
Worth considering
If a printer sits in one place and the network matters, a cable removes the entire category of problem. For an office machine that people rely on, wired is worth the cable run.

Why will my printer not connect to my Wi-Fi?

The WPS button does nothing.
Many routers now ship with WPS disabled for security. Enter the Wi-Fi password manually on the printer instead.
